Project margins and company finance

See what a project actually earns, and plan the workspace's monthly income and expenses.

There are two levels of finance: the margin on an individual project, and the money picture for the whole workspace. Regular members see neither — they never encounter revenue, cost or margin data anywhere in the app.

The two levels have slightly different audiences:

  • A project's Finance tab is open to admins and managers.
  • The Finance module in the sidebar defaults to admins only. An admin can grant it to a specific manager from the Section access matrix on Settings → Members.

A project's Finance tab

Every project has a Finance tab showing costs and margin:

  • Budget target — what the project is worth.
  • Labor cost — billable hours × each teammate's hourly rate. People without a rate count as €0, so fill rates in under Settings → Finance.
  • External costs — line items you add, each tagged with a category: Crew, Gear & equipment, Location, Talent, Stock & music, Travel, Media / ad spend, or Other. Subtotals show per group.
  • Margin — budget minus labour and external costs, in euros and percent, against your Target margin.

A project below the target margin is flagged, so you spot a job going sideways while it is still running.

Project financials

Finance → Project financials aggregates that across your whole workspace: Revenue (total project budgets), Costs (labour + external), Margin and MRR, with By month and By client breakdowns and a recurring-revenue overview of your retainers.

The by-month table groups projects by completion month, so revenue lands when work is actually delivered rather than when it was created.

Company finance

Finance → Company finance is the monthly income and expense planner, and the default landing page for the Finance area. Sections cover monthly income (MRR and variable), monthly expenses (salary & freelance, and services), overhead and variable expenses.

Invoice lines carry a status: Forecasted, Confirmed, Invoiced or Paid. Copy from previous month saves you re-entering a stable cost base each month — it asks before overwriting.

Finance targets

The gear button opens Finance targets, where you set the ranges that colour the summary badges. Each target — Margin target, Net margin target and Utilisation target — is a Minimum and a Maximum, and a badge turns green when the value sits inside the range.

Team rates

Hourly rates are set per person on Settings → Finance. They feed the labour cost above and are never shown to clients.

Goals

The Goals page is where targets become something the team can see: a North Star sentence, dated Milestones, and Company, Team and Personal goals with numeric progress. A goal can pull its current value from a Manual value or from Live MRR, and can carry a reward. Managers create company and team goals; anyone can set personal ones.
