Roles and what each one can see
Admin, Manager, Member and Limited — who can do what, and which data each role is shielded from.

Your workspace has four roles. They are set per workspace, so the same person can be a Manager in one and a Member in another.
Admin
Full access to everything, including Plans, Billing, the Finance module, Meetings and Recordings, workspace settings and the integrations that connect your whole company. Admins are also the only role that can create, edit and delete Knowledge Base pages through the assistant, and the only role that can see AI credit transactions there.
Manager
Runs the work without owning the company account. Managers can:
- Invite and remove team members, and change roles.
- Edit workspace settings including Statuses & boards and the Planner.
- See Plans and Billing.
- See the team timesheet, and a project's Finance tab — its costs and margins.
- Use the sales pipeline: the sales dashboard, leads, quotes and deals, plus hiring.
Two things a manager does not get by default: the Finance module in the sidebar, and the Meetings and Recordings pages. Both default to admin only. An admin can grant either to a specific person — see Section access below.
Member
Your regular team. Members work on projects, tasks, scripts, shot lists and deliverables, and log their own time.
Members do not see money. The Finance module and a project's costs and margins are visible only to admins and managers — a member never sees revenue, cost or margin data anywhere in the app. The sales and hiring pipelines are manager-and-above; Meetings and Recordings are admin-only.
Limited
For freelancers and per-project collaborators. A limited member only sees records explicitly shared with them — the projects they are assigned to, the deliverables assigned to them, and nothing else. They appear in a separate Limited members group on the Members page.
This is the free seat tier: you get 1 free limited seat per 5 paid seats, and €19 per month for each one beyond that.
Section access: overriding a role
Roles set the defaults, not a hard ceiling. On Settings → Members there is a Section access matrix: "Choose which sidebar sections each teammate sees. Roles set the defaults — toggle a checkbox to override for that person."
So you can give one manager the Finance module without promoting them to admin, or hand a trusted member the sales pipeline. Admins always have full access and cannot be restricted. Limited members are excluded from the matrix entirely — their access is record-by-record, not section-by-section.
Changing someone's role
Go to Settings → Members and use the role dropdown on their row. Admins and managers can change roles; the last admin of a workspace cannot be demoted or removed.
External collaborators are not roles
Someone who only needs access to a single project does not need a seat at all. Add them from that project's share menu with a permission level of View, Comment, Edit or Review. Manage everyone with this kind of access from the External access overview.
