Manage board columns for your workspace

Admins and managers add, rename, recolor and reorder the columns on every project and deliverable board from Settings.

Board columns are managed in one place for the whole workspace: Settings β†’ Statuses & boards (/settings/company/board-status). The page describes itself as: "Define the status columns your projects and deliverables move through. These apply to every project in your workspace."

Only admins and managers can edit them β€” everyone else sees "Only admins and managers can edit workflow statuses."

Picking a board

Two controls narrow down which board you are editing:

  • An axis toggle between Deliverable statuses and Project statuses.
  • Phase tabs: Pre-production, Production, Post-production, Distribution.

That is eight boards in total. The page opens on Deliverable statuses for Post-production, which is the board most teams touch first.

What you can change

The editor sums itself up as: "Drag to reorder Β· click a name to rename Β· click the colour to change it". In full:

  • Add a column, rename it, recolour it from the swatch palette, and reorder the columns within a board.
  • Set as intake column β€” marks where new cards land on that board.
  • Hide this column when it has no cards, so rarely-used stages do not clutter the board.
  • Give a column an optional description of what the stage means. It shows as small muted text under the column title, so stage definitions stay visible on the board.
  • Delete column.

Changes apply across the whole workspace immediately β€” every project and every board picks them up. Renaming is safe: already-filed work keeps its place and just shows your new label everywhere, including in filters and the status menu.

The board inside a project is read-only

You cannot add or edit columns from inside a project. At the end of the board there is a Manage columns in Settings link that takes you straight here. This is deliberate β€” columns are a workspace-wide vocabulary, not a per-project one.

Columns and the status ladder

Each board is one section of the status ladder, so a column is a status. Adding a column adds a status to that phase; the last column of a section is its end-of-phase status, which is what triggers the "move to the next phase?" prompt. Statuses must stay unique across your whole ladder, so a new column cannot reuse an id another board is already using.

Two groups you cannot edit

Boards show two automatic groups that are not real columns and cannot be renamed, hidden or deleted:

  • Earlier phases, at the front β€” deliverables still being worked in an earlier phase. Drag one onto a column to advance it into this phase.
  • No column, at the end β€” deliverables whose status matches no column on this board, typically after a custom column was deleted. Drag them onto a column to fix their status.

That second one is why deleting a column never strands its cards. Nothing disappears.

Pipeline boards are edited elsewhere

The Leads, Deals and Hiring boards are customisable too, but not from this page β€” each has its own column settings on its own page. The Deals board is also the one place with a project-creation workflow toggle, marking the stage where winning a deal spins up a project. Project and deliverable boards have no such setting.
