Archive, complete, reopen or delete a project

Finished work goes to Completed, work you want out of the way goes to Archived — and anything with real work in it can never be deleted.

There are three ways to take a project out of your active lists, and they mean different things.

Mark completed

Mark completed files a finished project into the Completed phase, which has its own sidebar entry at /projects/completed. Its deliverables are left exactly as they are.

The action is available from a project's row menu on the list, from the phase control in the project detail header, from the header's More actions menu, and from the project's status dropdown. To bring a project back, use Reopen in the same place.

Completed projects still appear in All projects in the Grid and Table layouts — switch to the Board layout, or use the Completed list, if you want them out of the way.

Archive

Archive hides a project from browsing but keeps everything intact and restorable. Archived projects live at /projects/archived, and Unarchive sits in the row menu there.

Archived projects stay findable: searching by name turns them up, and the status filter has an explicit Archived option. A project can never silently vanish.

Delete

Delete is only available for empty projects, and only from the projects list — the detail header does not offer it. If a project has any deliverables or logged time, deleting is blocked and you are offered archiving instead, with this explanation:

"… has work in it — deliverables or logged time — so it can't be deleted. Archive it to keep the work safe: it's hidden from your lists but stays findable and can be restored anytime."

This rule is enforced in the database, not just in the screen you are looking at — so it holds through the app, the assistant and any integration. No route can destroy real work.

What deletion actually does

Deleting does not wipe the row instantly. Projects, clients and jobs are marked deleted, hidden from every list, and permanently purged after 30 days.

There is no self-service trash to restore from, so treat Delete as final from your side. If you delete something by mistake, contact support through Help & Support in the account menu — and do it well inside the 30 days, because after the purge it is genuinely gone. When in doubt, archive instead.

Which one should I use?

  • The work shipped and you are done: Mark completed.
  • The project stalled, was cancelled, or you just want it out of the way: Archive.
  • You created it by mistake and it is empty: Delete.

Note that "Cancelled" is no longer a separate state — it and Archived were merged into a single Archived status.
