Invite your team and pick the right role

Add teammates from Settings → Members, choose Admin, Manager, Member or Limited, and understand what an invite costs.

Go to Settings → Members (/settings/company/members). Only admins and managers can invite.

Send an invite

  1. Under Invite new team members, type one or more addresses into Add email addresses. Separate several with commas.
  2. Pick a role from the dropdown next to the field. It defaults to Member.
  3. Click Invite.

Pending invitations are listed on the same page with the date they were sent and when they expire.

Which role?

  • Admin — full access, including billing, workspace settings and every module.
  • Manager — runs the work: planning, timesheets, team, finance figures, board configuration and the manager-only parts of the CRM. Can invite people. Cannot do everything an admin can.
  • Member — your regular team. Projects, tasks, their own time. Members do not see company revenue, cost or margin data anywhere in the app.
  • Limited — freelancers and per-project collaborators. They only see records explicitly shared with them. This is the free seat tier.

You can change someone's role later from the role badge on their row.

One thing before you invite: someone who only needs to follow or move work on a single project may not need a seat at all — a view link, edit link or per-project email invitation is free. See Share a project with clients and freelancers.

What an invite costs

If your workspace is billed through Stripe, a Seats & billing dialog appears before the invite goes out. It shows exactly what will change: how many new paid seats, any extra limited seats beyond your free allowance, the prorated amount charged when they join, and your new subscription total. Review it and click Send invites.

Two things worth knowing:

  • You are only billed when an invite is accepted. Pending invites are free.
  • If you removed someone earlier in this billing cycle, their seat stays open and paid for. New members fill those open seats at no extra cost, and the dialog will say so.

Limited seats are free at a rate of 1 free limited seat per 5 paid seats; beyond that they are €19 per month each.

An invitee can also just sign up with the invited email address. They land in the right workspace with the right role automatically, even if they never opened the invite email.

Removing someone

Open the gear icon on their row, then use Remove in the member panel and confirm. You cannot remove yourself, and the last admin of a workspace cannot be removed.

Removing a member does not free their seat immediately — it stays open and paid for until your next billing cycle, so re-adding them within the same cycle costs nothing extra.

If invites are blocked

  • "This workspace has no active subscription — reactivate it before inviting members." — go to Settings → Plans and reactivate.
  • "Seat limit reached — every paid seat on this subscription is in use." — raise the limit or remove a member first.

External collaborators

People who only need access to one project are not team members at all. Add them from a project's share menu with a permission level of View, Comment, Edit or Review. You can see everyone with external access in one place under External access.
